Run the Start-of-School Readiness report

To help you prepare for a new school year, run the Start of School Readiness report on one school or all schools in the district. The report checks for the following:

Active schedule

Is the schedule active?

If yes, is it for the entered school year?

Schedule term dates

Are there any schedule terms without dates?

 

Do the schedule term dates fall outside of the schedule dates?

 

 

Grade term map

Are grade term maps set for all schedule terms?

 

Calendars

Dates

Do all calendars have dates?

 

Do any calendar dates fall outside of school year dates?

 

Session days

Is the number of in-session days about the same number as last year?

If there is a difference of more than 10, a warning appears.

Schedule day numbers
(if applicable)

Have schedule day numbers been assigned to all in-session days?

If yes, are they valid numbers?

Bell schedules
(if applicable)

Have bell schedules been assigned to all in-session days?

  

Student

Homerooms

Do all students have a homeroom?
(if applicable)

  

Inactive student schedules

Are there any inactive schedules with schedule records?

  

Secondary student schedules

Are there any students with all of the following?

  • a different primary school from the selected school
  • schedules in the selected school
  • no secondary associations

  

Calendar codes

Do all students have calendar codes?

  

Active PreReg

Do any students have a PreReg status?

  

Next school

Do any students have a next school that is not their current school?

  

Archive non-active

Do all students have an Active status?

  

Grade levels

Do any students have a grade level that does not match their YOGClosed year of graduation?

  

Staff Staff homerooms

Are staff members assigned to the homerooms with assigned students?

(if applicable)

 
Calendar codes Do all staff members have calendar codes?  

Grades

Grade terms dates

Do the grade terms have dates?

  

Is there the same number of grade term dates as there are in the grade term definition?

  

Are there any grade term dates that fall outside of the schedule dates?

  

To run the Start of School Readiness report:

  1. Do one of the following:
    • Log on to the District view, and click the District tab.
    • Log on to the School view, and click the School tab.
  1. Click the Setup side-tab.
  1. Select Reports > Start of School Readiness.

  1. Use the following table to enter information in the fields:

    School

    Click the drop-down to select the school(s) for which you want to run the report:

    • All Active Schools
    • One school

    School year

    Type the school year for which you want to run the report.

    Pre-reg status

    Click the drop-down to select the status your district is using for Pre-reg.

    Details to display

    Click the drop-down to select the details to display on the report:

    • All
    • Errors only
    • Warnings only

    Summary only

    Select this checkbox to display the summary only on the report, not the grid with the details.

    Format

    Click the drop-down to select the format of the report.

  1. Click Run. The system displays the report in the format you select.

 

Reading the Start of School Readiness Report

The Start of School Readiness report lists the categories it has checked in Aspen and shows the status for each as shown here:

Ready:

Complete

Warning:

A fix is recommended, but not required.

Error:

A fix is required and must be made before the start of school.
