Define export formats

You can customize the format of a default export or create a new export format in Aspen. Use exports to send data from Aspen to another system. Exports are used for sending data to your state department of education for required state reporting. See State Reporting.

Some imports and exports are simple XMLClosed eXtensible Markup Language templates and can be made or edited in Aspen. More complex imports and exports use Java code. For more information, contact Technical Services.

Note: It is recommended to create jobs to run your state exports. Jobs save the results for future reference.

To define the format of an export:

  1. Log on to the District view.
  2. Click the Tools tab.
  3. Click the Exports side-tab, and then click Export Formats.
  4. On the Options menu, click Add. The New Export Format Definition page appears.

  1. Use the following table to help you enter the information in the fields:
    FieldDescription

    Export title

    Type the title of the export.

    Procedure ID

    Type the ID of the procedure.

    Table Name

    Click Search icon. and select the Data DictionaryClosed organizes the tables and fields that house all of your district's administrative information table that this export is coming from.

    Delimiter char

    Type a character to be used to separate elements of the export.

    For example: comma (,), semicolon (;), quotes (")

    Wrapper char

    Type a character to use around elements of the export.

    For example: quotes ("), brackets ({})

    Escape char

    Type a character to use to stop the export.

    Heading row

    Type the text you want to appear on top of the export.

    Comment

    Type comments or notes for the user. The comments do not print on the export.

    Leave this field blank. It will be used in a future release to structure SIF data.

    Custom

    Select this checkbox if you are customizing a default export. This prevents this export format definition from being overwritten with the standard definition when Aspen is updated.
